Does Next Matter do Robotic Process Automation (RPA)?

In Next Matter, Robotic Process Automation (RPA) is not our focus. We understand Robotic Process Automation (RPA) as click or UI automation. It helps automate repetitive tasks for a single person on their screen. In Next Matter, we do end-to-end / cross-functional workflow automation across multiple teams, people, and systems. RPA can be integrated with Next Matter so that robots are taking care of repetitive tasks on top of legacy UI as part of a workflow. Read more on the topic in our blog.

What hosting options are available

Our standard model for our clients is cloud Software-as-a-Service (SaaS) with hosting on European servers.

We are fully prepared to offer additional deployment options to enterprise customers within our shared environment, in a dedicated environment on our servers, and on most local or third-party cloud environment of your choice.

How is Next Matter different from other automation tools on the market?
Automation solutions are ranging from very basic and closed, to extremely complex and technical.

Next Matter sits right in the middle with a simple no-code solution, allowing anyone to get their hands on the best process they want to build, without requiring IT support.
Next Matter allows users to build, track, orchestrate, and execute complex business workflows. We’re not a database solution but can integrate with a third-party database.

Where is Next Matter data stored?

Currently, we store data in European Union. We don't host data in other geographies at the moment but are prepared to do it for a certain deal size. For an overview of our hosting subcontractors, see Annex 4 of this page.

How does Next Matter ensure the security and confidentiality of sensitive data? Do you comply with data protection and privacy regulations?

Next Matter is EU GDPR compliant. Our platform is hosted in Frankfurt, Germany by Amazon Web Services using data centers that meet global compliance standards such as ISO 27001, SOC 2 Type 2, and PCI DSS Level 1. For details on data security, see here.

What are the system requirements for Next Matter

Browser support

We support all major browsers for desktop and mobile:

  • three most recent versions of Chrome and Microsoft Edge
  • three most recent versions of Firefox
  • Safari 13 and later versions

The iOS and Android versions should align with the supported browser version and the browser should run smoothly on your mobile and desktop devices.

You might still run Next Matter on the following browsers however we don't officially support them:

  • Chromium-based browsers other than Chrome/Edge
  • Samsung Internet
  • Opera (excl. Opera Mobile)

We don't support any version of Internet Explorer, Opera Mobile and other mobile browsers, including Safari 12 and older.

Connectivity

For mobile, we advise using 3G or higher connectivity.

Requirements for barcode scanner

If you want to build workflows that can be started with a barcode scan or use a barcode scanner form field, you need to have the following:

In Chrome:

  1. Click the three dots on the upper right-hand side of your browser. Select Settings.
  2. Expand the Advanced Settings menu and select System.
  3. Toggle on Use hardware acceleration when available.

In Edge:

  1. Click the three-dot menu in the upper right-hand corner of your browser, and select Settings and more.
  2. Choose System and Performance.
  3. Toggle on Use hardware acceleration when available.

In Firefox:

  1. In the Menu bar at the top of the screen, click Firefox and choose Preferences.
  2. In most cases, hardware acceleration for Firefox will already be turned on as indicated by the Use recommended performance settings checkbox. By unchecking the box, hardware acceleration will reveal itself as another box to be ticked off or on.
How do I log in to Next Matter
If your administrator has invited you, you can log in in one of the three available ways:
  • Email address and password
  • Sign in with Google Login with a GSuite email address matching the email address of the invitation
  • Sign in with a Microsoft account
Can I customize the logo of my workspace

We can change the name and logo of your workspace as well as any notifications that are sent from Next Matter to external users (see Assign a step to external user.

How can I change my billing or address details
Billing is automatically adjusted based on the number of users in your account. The demo and troubleshooting users that have the @nextmatter.com email address are not counted for billing purposes.

If you want to update your invoicing address, email address, or subscription plan, get in touch with Next Matter Support.

How can I export my data

You can export your process and instance-related data at any time with our CSV export available in Data > CSV exports.

To export specific metrics, send an email to [email protected] and we will provide you with your data export within 48 hours. Be sure to include in your request the time period requested, and the metrics you are looking for.

Who can view a workflow?

The ability to view a workflow depends on several factors:

  • The privacy settings of the workflow
  • The privacy settings of the folder that the workflow is in. For example, public workflows in a private folder can only be viewed by those who can access the folder.
  • Teams and users that are assigned to the steps in the workflow. This is important because colleagues who are involved in workflows within a private folder can see the workflow even if they do not have access to the folder. They are unable to see workflows in which they are not involved.
I'm getting logged out of Next Matter on my mobile

It might be due to your browser cookie settings. On Safari, you can do the following:

  1. Open Safari.
  2. From the top menu bar select Safari > Preferences.
  3. Clear the Block all cookies checkbox.

You may need to restart Safari for the new settings to take effect.

Can I access and push data to my database using API?

We have a ready-made integration with Amazon Redshift. We also allow integrations with any third-party application that uses REST API.

Do we need to copy Next Matter API calls for every request

You can easily import our Swagger/OpenAPI specs directly into Postman. The specs are available here. Alternatively, you can run your calls directly from our API reference.

Can Next Matter receive data from Typeform?

Yes!
Typeform is an online tool that allows users to create and share interactive forms, surveys, and questionnaires in a conversational format. You can integrate Typeform into a workflow, replacing the default Next Matter public form link with a Typeform link and sending back the collected data into a workflow system like Next Matter.
You need to configure a webhook that triggers when a form is completed on the Typeform side.
The webhook would then send the collected form data as a payload (usually in JSON format) to a Next Matter API endpoint.

How do I offboard users in Next Matter

It's a good idea not to delete users at once but to notify us first so that we can revoke their passwords.
If they had admin credentials, change them to colleague. You can change the credentials in Company > Colleagues.
Next, set up Out of office (Company > Out of office) for the users for a period of time (for example a month) and select a stand-in. This way you make sure no tasks in the existing instances will need this user's attention (as they will automatically be re-assigned to the stand-in.
After the period of time passes, you can safely delete the users.
